Adding Data Packages to the ODP Repository

Data packages represent bundles of data. The data can be of any kind, e.g., tabular quantitative information, anecdotal, graphical, etc., bundled in a single compressed file (e.g. WinZip, 7Zip or WinRAR archive).  When you add a data package to the ODP repository, you will need to describe the data package contents and optionally provide location information specifying where the data were collected and identify a point of contact. Once you have uploaded a data package you can establish associations to any documents in the system, providing a way to reference monitoring protocols or background information about the underlying data.

To add a data package to the ODP:

  1. From the Data & Documents tab, click on Add Data or Documents in the tab’s menu bar.
  2. Click on Data Packages to open the Data Package Details page in edit mode.
  3. Enter information about your data package by either typing directly into a text box, or by selecting an option from a drop-down list.  If the option you need to characterize your data package is not in the drop-down list, contact the TRRP Data Steward to request that it be added. The Title field is mandatory, and you must upload your Data Package file before the entry can be saved.
  4. When done, Save your new entry Save icon or click on Cancel Cancel icon to abandon your changes.

The fields on the Data Package Details page are:

Title Descriptive name for the data package (mandatory).
River system Specifies the system covered by the documentation, e.g., Trinity.
Status Public or secure.  Secure items can only be seen by users who are logged into an account.
Is visible A checkbox called Is visible in external links to ODP. When this option is checked, the data package will be accessible to viewers of other, related, web sites (e.g., the TRRP web site).
Description A description of the contents of the data package.
Map location URL Optional link to map.
Citation Reference for the data package, including author, year, and title as appropriate.
Data package The data package file (mandatory).  Use the Browse button to search for and select your data package file.
Metadata XML file A link to the metadata associated with the data package. Use the Browse button to search for and select your XML-format metadata file.
Point of Contact Name and contact details for the individual to approach for more information about the data package. Manually enter details, or use the Update With My Details button to populate the fields.

Viewing and Editing Data Package Details

The Data Package Details page opens when you click on the hyperlinked text of a data package returned by a search for Data, and displays detailed information about the selected data. Click on the printer icon to open a “printer friendly” version of the page that can then be printed using your browser’s controls.

Users logged into the ODP with an account can also:

  • edit Edit Icon data package details;
  • create associations between data packages and documentation in the repository;
  • categorize data packages to a finer degree by associating them with existing tags; and
  • delete Trash Can data packages from the repository.

To edit data package details:

  1. From the list of data packages returned by your search (e.g., Winzip icon), open the one you wish to edit by clicking on the hyperlinked text.
  2. On the Data Package Details page, click on the Edit icon Edit Icon to launch the editor.
  3. The fields, including the Point of Contact fields, can be edited either by typing directly into a text box, or by selecting an option from a drop-down list.  If the option you need to characterize your data package is not in the drop-down list, contact the TRRP Data Steward to request that it be added.
  4. Click on Browse to add or change the Data package and/or the Metadata XML file associated with the data package.
  5. When done, Save your new entry Save icon or click on Cancel Cancel icon to abandon your changes.

At the bottom of the Point of Contact section of the page, the date on which the item was Added to the repository, the last date on which the item was Updated, and the ODP username of the individual responsible for adding/updating the item are shown.

To associate a document with a data package:

  1. Add a new document by clicking on the green Add icon Add Item Button and entering your information into the fields of the Document Details page.
  2. Use the Associate Existing Document option to select an document already resident in the repository; enter a keyword into the Document Title text box and select the document you want from the list of relevant documents. Click on the Save icon Save icon to establish the association.
  3. Delete unwanted associations be selecting them from the Associated Documents list, and clicking on the Trash Can Remove Association button.

You do not need to be in edit mode to associate a document with a data package.

To add a tag to a data package:

  1. From the list of data packages returned by your search (e.g., Winzip icon), open the one to which you wish to add a tag by clicking on the hyperlinked text.
  2. At the bottom of the Data Package Details page, open the Tags drop-down and select the tag that best characterizes the document.  If the tag you need to characterize your data package is not in the list, contact the TRRP Data Steward to request that it be added.
  3. Click on the green Add button Add Item Button to establish an association between the selected tag and the open data package.

You do not need to be in edit mode to add a tag to a data package.

To delete a data package from the repository:

  1. From the list of data packages returned by your search (e.g., Winzip icon), open the one you wish to delete by clicking on the hyperlinked text.
  2. On the Data Package Details page, click on the trash can icon Trash Can to delete the data package from the repository.
