Investigation Plan Management

Accessing The Investigation Features

Only users that have been granted permission by the system administrator can access the ODP investigation plan features. Once your ODP account has been approved, login to the ODP and then click on the “Planning” tab in the main navigation bar.

The main investigation plan page is a list of all investigation plans that you have permission to view and or edit. To view or edit an investigation plan you must meet one of the following criteria:

  • Collaborator listed on the plan
  • Principal Investigator
  • Lead on at least one deliverable
  • System administrator
  • System reviewer

At the top of the main investigation plan list there are several tools for manipulating the list (not all tools will be available for all users):

  • Two dropdowns allow you to filter the list of plans further based on the fiscal year with which the plan is associated, or by the current status of the plans.
  • The sigma icon sigma takes administrators to a budget summary that lists all funding requests across all plans.
  • The anticipated products DeliverableSummaryIcon icon navigates administrators to a summary of all deliverable products and data packages.
  • The Excel icon iconxls downloads the currently displayed list of plans as an Excel spreadsheet.
  • The printer icon Printer Icon opens a new browser tab with the currently displayed list of plans in a print preview mode, with none of the header and footer pages elements from the current page.
  • The status of deliverables for each plan is displayed as a series of traffic lights:
    • A grey icon GreyDot is shown If one or more deliverables are associated with the plan but they have not yet been submitted and they are not yet overdue.
    • A green icon GreenDot is shown if one or more deliverables have been submitted for the plan.
    • A red icon RedDot is shown if one or more deliverables are overdue.
  • The security permission for the current user is shown via a padlock icon. An open padlock lock-open indicates that a plan is editble and a closed padlock lock2 that a plan is read-only.

Clicking the “title” for a plan takes you to the main details for the plan. The “report” link is a shortcut to the page where you can select which type of report you want to produce. The “Download” link packages the plan reports together with any file attachments into a compressed file and downloads it onto your computer.

 

Creating a New Investigation Plan

There are two ways to create new investigation plans.

Creating New Plans From Scratch

  1. Log in to the ODP
  2. Click on the Planning tab at the top of the page.
  3. Click on the Add Item Button  add icon to create a new plan. You will need to provide the following initial information when creating a new plan:
    • Title – The title is required, must be less than 1000 characters long and must be completely unique within the ODP planning system. A warning will be shown if the title is not unique.
    • Fiscal Year – Choose the relevant fiscal year for which funding is required for the plan. Contact the system administrator if you do not see the desired fiscal year in the dropdown.
  4. Clicking the Save icon save icon creates the plan in the database and takes you to the General Information tab to starting editing the contents of the plan.

Copying An Existing Plan

Instead of starting a new plan from scratch you can “copy forward” an existing plan. This makes a new copy of the existing plan, including all of the existing plan’s information (investigators, deliverables, attachments etc.) Follow these steps to make a copy of an existing plan:

  1. Log in to the ODP
  2. Click on the Planning tab at the top of the page.
  3. Find the desired existing plan in the list of plans. You can use the fiscal year or status drop-downs to filter the list. Note that only plans to which you have security access are listed. Contact the system administrator if the plan that you wish to copy is not visible.
  4. Click on the title of the plan to navigate to the General Information tab for the existing plan.
  5. Click the copy copy icon in the top left of the General Information tab. You will be shown a summary of the existing plan and need to provide the following information for the new plan:
    • Title – The title is required, must be less than 1000 characters long and must be completely unique within the ODP planning system. A warning will be shown if the title is not unique.
    • Fiscal Year – Choose the relevant fiscal year for which funding is required for the plan. Contact the system administrator if you do not see the desired fiscal year in the drop-down.
  6. Clicking the Save icon save icon creates the plan in the database and takes you to the General Information tab to starting editing the contents of the plan.

Note that once the new plan is created, that there is no further linkage between the existing and new plans. i.e. changing any information for either plan does not update the other plan.

Editing An Existing Plan

  1. Log in to the ODP
  2. Click on the Planning tab at the top of the page.
  3. Find the desired existing plan in the list of plans. You can use the fiscal year or status drop-downs to filter the list. Note that only plans to which you have security access are listed. Also note that plans are locked and read-only to all but system administrators once a plan has become submitted. Contact the system administrator if the plan that you wish to copy is not visible or is not editable because it is locked.
  4. Click on the title of the plan to navigate to the General Information tab for the existing plan.

Plan Status & Submitting Plans

Each investigation plan possesses a “status” that represents the current state of a plan. As plans are worked on, submitted and then reviewed, they undergo the following sequential workflow:

  • Drafted – Plans start out with the drafted status. They remain this way while investigators author their content and make revisions.
  • Submitted – Once the investigators collaborating on a plan are satisfied with its contents they then “submit” the plan. Once a plan has been submitted it can no longer be edited by anyone except the system administrator. Only system administrators can change a plan’s status back to drafted for further editing.
  • Reviewed External – Describes plans that have undergone the external review process.
  • Reviewed SAB – Describes plans that have undergone the Scientific Advisory Board review.

Deleting Plans

Only plans that have not already been submitted can be deleted. Also, only the person that created a particular plan, or the system administrator, can delete a plan. Contact the system administrator if you are experiencing difficultly deleting a plan or if you accidentally delete a plan that is still required.

To delete an existing plan:

  1. Log in to the ODP
  2. Click on the Planning tab at the top of the page.
  3. Find the desired existing plan in the list of plans. You can use the fiscal year or status drop-downs to filter the list.
  4. Click on the title of the plan to navigate to the General Information tab for the existing plan.
  5. Click the delete icon to delete the plan.
  6. You will be prompted to confirm the action.

After the plan is deleted, you will be taken back to the list of all investgiation plans.

Printing Plans

You can print investigation plans in two different HTML document formats:

  • Investigation Plan Brief - this is a short, summary format that only includes the main, high level deletes of a plan.
  • Investigation Plan For Reviewers - this is a longer, more verbose format that includes all information associated with a particular plan.

To print an investigation plan:

  1. Log in to the ODP
  2. Click on the Planning tab at the top of the page.
  3. Find the desired existing plan in the list of plans. You can use the fiscal year or status drop-downs to filter the list.
  4. Click on the title of the plan to navigate to the General Information tab for the existing plan.
  5. Click the Printer Icon icon to navigate to the page that lists the different report formats.
  6. Click on the desired format to generate the HTML document. You should see the report appear as a download in your web browser. Although different browsers operate in different ways, most will prompt you to accept the download and/or request a location in which to save the document.

Downloading Plans

You can download an investigation plan as a single compressed zip file that contains both printed report formats (see above) as well as any file attachments associated with the plan.

  1. Log in to the ODP
  2. Click on the Planning tab at the top of the page.
  3. Find the desired existing plan in the list of plans. You can use the fiscal year or status drop-downs to filter the list.
  4. Click on the title of the plan to navigate to the General Information tab for the existing plan.
  5. Click the download download icon to download the plan in a compressed zip file format. Although different browsers operate in different ways, most will prompt you to accept the download and/or request a location in which to save the document.

Most operating systems, including Windows, provide built-in tools for opening the compressed zip format and extracting the contents of the file to your computer. In Windows, right click on the download file and choose “Extract Files…”
