Import Templates

Manage the import templates that are used to upload new data into the ODP. Only templates that have the “Active” checkbox checked are available for users to download in the Data Query Templates section. To Edit the settings for a template click the (Edit Icon) button. Then Save your changes (Save icon).

Refresh Variable Locations List

Each time a template is uploaded into the database a stored procedure runs in the background to update the variable locations table. The Tabular Data Query drop-down menus are populated based on the contents of the variable locations list.

If data are ever entered directly into the database (i.e. not via the web portal’s upload functionality) the data steward must manually run this stored procedure. Use this tool to clear and then repopulate the table that tracks data holdings by variable and location. This process can take several seconds, or even minutes when there are substantial quantities of data in the database.

Uploads

Upload Point or Depth Observation Tabular Data

Add new point or depth observation tabular data to the database by clicking the Add (Add Item Button) button on the Upload page. Click the Choose File button and browse to the populated import template (templates are accessible under the Add Data or Documents section) on your local computer. Next, click Import. The selected import template will be uploaded into the database – this may take several minutes depending on the number of records being uploaded.

Manage Uploads

Manage existing uploads on the Upload page. Click a green hyperlinked ID to view details for a particular upload.

The fields on the upload details page are:

Upload ID The unique identifier for the upload.
River system The river system for the uploaded data.
Dataset: The dataset for the uploaded data.
Status All uploads are given a preliminary status. The data steward may set this to Approved when satisfied with the quality of the uploaded data.
Type: The method by which the data was uploaded.
Data type: The uploaded data’s data type.
Security level: All uploads are assigned a secure status. The data steward may change the status to public when ready to share the data publicly.
Populated by: The user who populated the import template.
Template file name: The file name of the import template.
Description: Additional information about the uploaded data.
Added on: The user who created the upload record.
Last updated: The date that the upload record was last modified.

Associating Documents to Uploads

Upload Documents

Click the Add (Add Item Button) button to upload a new document to the ODP Library and automatically associate it with the current upload. Refer to the Adding Documents to the ODP Library help page if necessary. To associated a document that has been previously added to the ODP Library, click the Associate Existing Document button. A textbox will appear where you can look up existing documents. Type the document title or keywords into the textbox. A popup will expand to show matching documents. Click the desired document and then click Save (Save icon).

Remove existing document associations from an upload by clicking Remove Association. Note that the document file will remain in the ODP Library. Only the association between the upload and the document will be removed.

Upload Status Log

Click the Status Log tab to view an upload’s modification history. All changes to an upload are tracked and visible under this tab.
